Designing an executive office that impresses clients
By Sameer, Founder, Misuraa · Updated October 2026
Quick answer: A client forms an opinion of an executive office in the first ten seconds, and most of that opinion comes from four things: how the room is laid out, the chair you sit in, the chair they sit in, and the light. Get those four right and the office reads as organised and confident. Spend on finishes before fixing them and it will not.
Picture the moment. A client you have been courting for three months walks into your cabin. You stand, shake hands, and wave them to a chair. It is low, it wobbles, and the seat is too deep for their legs. They spend the next forty minutes shifting their weight while you talk about your best work. This guide is about preventing that moment, and about building an executive office that works as hard as you do. By the end you will have exact measurements, a two-minute walk-through test, and a clear order in which to spend your budget.
It is also the right season for it. With Diwali a few weeks away, many offices in Mumbai, Bangalore, Delhi NCR, Hyderabad and Pune are refreshing cabins before year-end client meetings. Doing it with a plan costs less than doing it twice.
What clients actually notice in an executive office
In our service visits and showroom conversations, we notice that clients rarely comment on the expensive things. They notice whether the room feels calm, whether they were given somewhere comfortable to sit, and whether the host looks at ease. Comfort and order signal competence. Decoration does not.
| Element | What the client feels | Common mistake |
|---|---|---|
| Layout and walking path | The business is organised | Desk pushed to the door, no room to move |
| Your executive chair | You are comfortable and in command | Sitting low or slumped in a chair that does not fit you |
| Visitor chairs | They are welcome and respected | Hard, low, or mismatched chairs |
| Lighting | The room is professional, not tired | One harsh overhead tube, glare on the screen |
| Surfaces and clutter | Your work is under control | Files stacked on every flat surface |
Step 1: Set the layout with real numbers
These are general ergonomic and space-planning guides, not rules. Adjust them to your cabin.
- Desk height: 72 to 75 cm suits most people. Your elbows should sit at roughly 90 degrees when your forearms rest on the desk.
- Desk depth: 70 to 80 cm. Deeper desks push the visitor away and make the room feel like a barrier.
- Walking path behind your chair: keep about 90 cm clear so you can stand and roll back without hitting a wall or cabinet.
- Visitor seating: place chairs about 100 to 120 cm from the front edge of the desk, angled slightly toward each other rather than lined up square to you.
- Monitor: top edge at or just below eye level, an arm's length away.
Where possible, avoid sitting with your back to the door. It makes you look surprised every time someone enters, and it makes clients feel they are interrupting.
Step 2: Choose your own chair for the hours, not the photo
The executive chair is the object clients look at most and you use most. Most people choose it for how it looks across the showroom. A better way is to choose it for how it behaves at hour six.
A common myth is that a bigger, softer, more padded chair is more comfortable. Over a long day, it usually is not. A chair that supports your lower back, lets you set seat height and depth, and holds a recline position you choose will keep you alert through the afternoon meetings. A deep, soft seat tends to let you slump, and you end up adjusting yourself instead of the chair.
How to test an executive chair in a showroom
- Sit all the way back. The lower back should be touched by the support without a gap or a pinch.
- Set seat height so your feet are flat and your knees sit at about 90 degrees.
- Check seat depth: you should fit about two to three finger-widths between the seat edge and the back of your knee.
- Lean back and lock the recline. The chair should hold the position without drifting.
- Stay seated for at least ten minutes. Anything that bothers you in ten minutes will bother you in ten hours.
- Look at it from the client's side of the desk. It should look composed, not oversized.
Material matters in the Indian climate. Premium vegan leather gives a polished, formal look, while breathable mesh suits people who sit for long stretches in warm months. Step 3: Treat visitor seating as part of the pitch
This is the step most executive offices skip. The visitor chair is where your client forms their physical impression of your company. If they are comfortable, they stay longer, listen better and agree more easily. If they are not, they leave sooner and remember why.
Keep three numbers in mind. Seat height of about 43 to 48 cm, so adults of different heights can sit and stand easily. A seat depth that does not trap shorter legs. And armrests that clear the desk edge, so the chair can slide in. Fixed arms are fine here, because visitors do not need the adjustment you do.
Match the family, not the model. If your own chair is in vegan leather, a visitor chair in the same finish ties the room together. Our chairs collection includes fixed-arm models that suit visitor seating well. If your cabin also has a lounge corner, a compact sofa and a small side table turn a formal meeting into a conversation.
Step 4: Fix the light before you buy anything else
Most offices are lit for the building, not the people in them. As a general guide, office work suits roughly 300 to 500 lux at the desk. Practical ways to get there:
- Combine ambient ceiling light with a task lamp, so your face is not lit from directly above.
- Place the desk so windows are to the side. Windows behind your screen cause glare. Windows behind you put your face in shadow on video calls.
- Choose warm-white light, around 3500 to 4000 K, for a room that feels professional without feeling clinical.
The 2-minute client walk-through
Do this at your own cabin before your next important meeting.
- Stand at the door for ten seconds. What is the first thing your eye lands on? If it is clutter or a cable, fix that first.
- Walk to the visitor chair and sit. Does it feel steady? Can you see the host comfortably without craning?
- Look at the host's chair from there. Is it the only good chair in the room?
- Check for glare on your screen and a shadow on your face.
- Count the flat surfaces holding loose paper. More than two and the room says the work is behind.
Where to spend a limited budget
If you cannot do everything at once, this order gives the most return. First, your own chair, because you use it daily and it affects your health and focus. Second, visitor chairs. Third, lighting. Fourth, surfaces and storage. Last, decoration. Price is what you pay today. Cost is what you pay in the long run if cheap seating damages your back.

Frequently asked questions
How big should an executive office be?
As a working guide, plan for roughly 12 to 15 square metres for a single-occupant cabin that holds a desk, an executive chair, two visitor chairs and a clear walking path. Smaller cabins work well if the desk is shallow and the visitor seating is compact.
Should the visitor chairs match the executive chair?
They should belong to the same family in colour, material and finish, but they do not need to be identical. A visitor chair that is a step simpler than your own chair looks considered. A visitor chair that is uncomfortable makes the meeting shorter.
Which executive chair is right for a client-facing cabin?
Choose by how many hours you sit in it each day, not by how it looks in a photo. Browse our executive range at our executive chair collection, and test chairs at our Experience Centre in Andheri West, Mumbai, where 50+ models are on the floor.

Yes. We ship across India with free shipping, and we have on-ground service in Mumbai, Bangalore, Hyderabad, Delhi NCR and Pune. For bulk and boardroom requirements we offer custom B2B pricing and on-site mockups for large orders.
How long does delivery take for an office refresh?
